  • Notes from the technician about the property and the work performed

Information from third parties:

  • Lead and referral information from our advertising platforms (Google, Meta) and review platforms
  • Approval or denial information from financing partners

We do not knowingly collect Social Security numbers, driver’s license numbers, biometric data, health information, or other “sensitive personal information” as defined under California or Florida law. If you submit such information voluntarily (for example, to a financing partner), it is transmitted directly to that partner and not retained by Home Therapist.

2. How We Use Your Information

We use your personal information to:

  • Schedule, confirm, and complete service appointments
  • Dispatch technicians and provide arrival updates
  • Generate estimates, invoices, and warranty records
  • Process payments and refunds
  • Respond to questions, complaints, and warranty claims
  • Send service reminders and maintenance plan notifications
  • Send promotional offers (only when you have opted in)
  • Measure and improve our advertising campaigns
  • Improve our website, services, and customer experience
  • Detect and prevent fraud, security incidents, and policy violations
  • Comply with legal obligations, including tax, insurance, and contractor licensing

3. How We Share Your Information

We do not sell your personal information for money. We share information only as described below:

Service providers and platforms we use to run the business:

  • Housecall Pro: scheduling, dispatch, invoicing, customer communication, photo storage, payment processing
  • GoHighLevel: customer relationship management, lead pipeline, voice AI
  • Zoho Mail: business email and customer correspondence
  • Make.com: workflow automation between systems
  • QuickBooks Online: accounting, invoicing, payment reconciliation
  • Airtable: internal operations and customer data management
  • Google Workspace: business productivity

Advertising and analytics partners (see Section 5):

  • Google Ads, Google Analytics, Google Tag Manager: advertising and website analytics
  • Meta (Facebook and Instagram): advertising and retargeting
  • Bing / Microsoft Advertising: search advertising
  • LiteSpeed and Hostinger: website hosting and performance

Financial partners:

  • Card and ACH payment processors (Stripe, Square, or as integrated through Housecall Pro or QuickBooks)
  • Third-party financing lenders (only when you apply for financing)

Legal disclosures:

  • Law enforcement, courts, regulators, or government authorities when required by subpoena, court order, or applicable law
  • Insurance carriers, auditors, and attorneys in connection with claims, audits, or legal proceedings

Business transfers:

  • If Home Therapist is involved in a merger, acquisition, financing, or sale of assets, your personal information may be transferred as part of that transaction, subject to this Privacy Policy.

Although we do not sell personal information for money, some online advertising technologies (such as pixels and click identifiers) may be considered a “sale” or “sharing for cross-context behavioral advertising” under California (CCPA/CPRA) and Florida (FDBR) law. See Sections 5 and 9 for opt-out information.

4. Marketing Calls, Text Messages, and Email (TCPA)

When you provide your phone number, you expressly consent to receive calls and text messages from Home Therapist or our authorized representatives at that number for purposes including appointment scheduling, technician arrival updates, invoice delivery, service follow-up, warranty notices, and (where you have separately opted in) promotional messages.

Calls and text messages may be delivered using automated technology. Message and data rates may apply. Message frequency varies based on your activity.

To opt out of marketing text messages, reply STOP to any text. To opt out of marketing email, click the unsubscribe link in any email. To opt out of marketing calls, contact us at (813) 343-2212. Opting out of marketing does not stop transactional messages (appointment reminders, technician dispatch notices, invoices) that relate to a service you have requested.

5. Cookies, Tracking Pixels, and Online Advertising

Our website uses cookies and similar tracking technologies, including the following categories:

  • Necessary cookies: required for the site to function (login, security, form submission). These cannot be disabled.
  • Analytics cookies: Google Analytics, Google Tag Manager. These help us understand how visitors use the site.
  • Advertising cookies and pixels: Google Ads conversion tracking, Meta (Facebook) Pixel, Bing Universal Event Tracking. These measure ad performance and enable retargeting on Google, Facebook, Instagram, and other platforms.
  • Functional cookies: LiteSpeed cache and similar performance tools.

When you arrive from a Google or Meta advertisement, we may capture and store advertising click identifiers (GCLID, fbclid) and UTM parameters on your visit and pass them with your booking information so that we can measure the effectiveness of our advertising and report conversions back to the advertising platform.

  • You can opt out of personalized Meta ads in your Facebook or Instagram ad preferences.

  • Many browsers offer a “Global Privacy Control” (GPC) signal that we honor as a request to opt out of sharing for cross-context behavioral advertising, where applicable.

6. Call Recording Disclosure

For quality assurance, training, and dispute resolution, telephone calls to and from Home Therapist may be recorded. Florida is an all-party consent state under FL Statute 934.03. By continuing a call after notice that the call may be recorded, you consent to the recording. If you do not consent, please notify the agent at the start of the call and we will end the call or proceed without recording.

7. Photographs from Service Visits

Our technicians routinely take photographs of equipment, work areas, and installations as part of standard service documentation, warranty records, and quality control. These photographs are stored in our service management system and may also be used in marketing materials, social media, our website, and other promotional channels.

Photographs are limited to equipment and work areas and do not include personal identifying information about you or unrelated interior spaces. If you do not want photographs of your property used in marketing, please notify the technician on site or contact us at service@callhometherapist.com before or during the service visit. Removing previously published images may take 30 to 60 days.

8. Data Retention

We retain personal information only as long as needed for the purposes described in this Privacy Policy or required by law:

  • Service records, invoices, and warranty information: 7 years (to support tax, accounting, and warranty obligations)
  • Payment records: 7 years (IRS, sales tax, and banking requirements)
  • Job photos and service notes: for the life of the customer relationship plus 7 years
  • Recorded calls: typically up to 12 months unless retained longer for a specific dispute or claim
  • Marketing contact lists: until you opt out, then we maintain a suppression list to honor your opt-out
  • Website analytics and advertising data: per the retention defaults of Google, Meta, and similar platforms (typically 14 to 26 months)

When information is no longer needed, we delete or anonymize it.

9. Your Privacy Rights

All users: You can request to access, correct, or delete your personal information by contacting us using the details in Section 14. We will verify your identity before responding and will reply within the timeframes required by applicable law (typically 45 days).

Florida residents (Florida Digital Bill of Rights, effective July 1, 2024): If applicable to our business, you have the right to:

  • Confirm whether we process your personal data and access that data
  • Correct inaccurate personal data
  • Delete personal data we hold about you
  • Obtain a portable copy of your personal data
  • Opt out of the processing of your personal data for the purposes of targeted advertising, the sale of personal data, or profiling that produces significant effects

California residents (CCPA / CPRA): You have the right to:

  • Know what personal information we collect, the sources, the purposes, and the categories of third parties with whom we share it
  • Request a copy of the specific personal information we have collected about you in the prior 12 months
  • Request that we delete personal information we have collected about you
  • Correct inaccurate personal information
  • Opt out of the sale or sharing of personal information for cross-context behavioral advertising
  • Limit the use of sensitive personal information (we do not knowingly collect this category)
  • Not receive discriminatory treatment for exercising your privacy rights

To exercise rights: Email service@callhometherapist.com with the subject line “Privacy Request” and tell us which right you want to exercise. You may also use an authorized agent; we may require written authorization and identity verification.

Do Not Sell or Share My Personal Information: California and Florida residents may opt out of any sale or sharing of personal information for cross-context behavioral advertising by emailing service@callhometherapist.com with the subject line “Do Not Sell or Share.” We also honor browser Global Privacy Control (GPC) signals where required by law.

Right to appeal: If we deny a privacy rights request, you may appeal by replying to our response within 30 days. We will inform you in writing of any action taken on the appeal within 60 days. If your appeal is denied, you may contact the Florida Attorney General at myfloridalegal.com or the California Attorney General at oag.ca.gov/privacy.

10. Data Security

We use industry-standard administrative, technical, and physical safeguards to protect personal information, including encryption of data in transit and at rest, access controls, secure password storage, and employee confidentiality obligations. No system is perfectly secure, but we work to maintain practices appropriate to the sensitivity of the information we handle. If a data breach affects your personal information, we will notify you and applicable authorities as required by Florida law.

11. Children’s Privacy

Our website and services are intended for adults and are not directed to children under 13. We do not knowingly collect personal information from children under 13.
